A product specification sheet for China suppliers is the working definition of what you intend to buy. It should make the important product, quality, packaging and commercial assumptions visible before suppliers calculate a price. A reference image can start a conversation, but it rarely defines material grade, dimensions, tolerances, internal construction, accessories or the exact pack-out.
Small brands often delay the specification until after choosing a supplier. That reverses the safer sequence. If each candidate interprets the product differently, their quotations are not comparable. Build a practical first version before the RFQ, then update it through sampling. Give the product one controlled identity
Start with a clear product name, internal SKU and version date. Include one owner for approvals and a short change history. Avoid filenames such as “final-new-2.” A simple V1, V2 and approved-version sequence makes it easier for buyers, suppliers and inspectors to identify the current scope.
Add reference photos, sketches or CAD files, but label what each visual proves. One image may define overall appearance while a drawing controls dimensions. If a reference product contains protected branding or design elements, remove them and define an original or authorized scope.
Specify materials and construction
Name the material at the level relevant to performance and quotation. “Plastic,” “metal” or “fabric” is usually too broad. Record resin or alloy where known, fabric composition and weight, coating or finish, component materials and acceptable alternatives. When an exact grade is not yet decided, identify the required use condition and ask suppliers to disclose their proposal.
Describe how the product is constructed: wall thickness, seams, welds, joints, fasteners, closures, reinforcement and replaceable components. Hidden construction often explains why two visually similar products have different prices. Do not copy technical claims from a competitor without evidence that they apply to the proposed product.
Control dimensions, tolerances and fit
List overall dimensions and critical functional dimensions separately. Mark the points that affect assembly, fit, capacity, balance or compatibility. A tolerance should reflect what the process can control and what the customer actually needs; unnecessarily tight tolerances can increase cost without improving use.

Define appearance without subjective language
Replace words such as “premium,” “nice blue” or “high quality” with observable requirements. Use a physical color reference when color matters, identify texture and gloss, provide vector artwork, and dimension logo position. State which surfaces are customer-facing and which cosmetic defects are unacceptable.
If natural materials or manual finishing create variation, define a reasonable range instead of expecting identical units. The approved golden sample should be paired with the written specification, not used as a substitute for it.
Describe function and verification
Write the intended use, user, environment and limits. Translate performance expectations into repeatable checks where appropriate: assembly sequence, closure cycles, fit, capacity, basic load, leakage orientation or packaging handling. The method, duration, sample condition and acceptance result should be clear enough for another person to repeat.
Safety, regulatory and compliance questions require destination-specific professional review. List the destination and intended claims so the supplier can provide relevant documentation, but do not treat a generic certificate as proof for every material, model or market.
Build packaging into the specification
Include all accessories, instructions, labels, retail packaging, protective inserts and master-carton requirements. Record units per carton, target carton limits and barcode responsibility. Packaging affects product condition, freight volume and fulfillment readiness, so it cannot remain a last-minute design task.
Use change control after quotations begin
When a supplier proposes an alternative, record it as a visible revision. State the reason, cost effect, lead-time effect and validation needed. Significant material, component or construction changes normally require sample confirmation before production. Send the current version with the purchase order and inspection checklist.
Keep the working document usable
A specification becomes less useful when every detail is crowded into one unstructured file. Put the commercial summary, product identity, critical requirements and approval status on the first pages. Use referenced annexes for drawings, artwork, color standards, packaging dielines and test methods. Every annex should carry the same product code and version.
Ask a new team member to review the document without relying on chat history. If they cannot tell which dimensions are critical, which artwork is approved or which requirement remains open, improve the structure. The supplier should return a marked acknowledgement identifying exceptions before a quotation is treated as final. Keep unresolved points visible instead of filling them with assumptions.
