Golden Sample Approval Checklist for Private Label Products
Build a production-ready golden sample approval checklist covering materials, dimensions, function, branding, packaging, revisions and retained references.
A golden sample is the approved physical and documented reference used to align the buyer, supplier and inspection team. It is valuable only when everyone knows which version is approved, which characteristics it represents, and where bulk production is allowed to differ.
Confirm the sample type first
A handmade prototype, appearance model or stock reference may not represent bulk materials and processes. Record whether the proposed golden sample is a true pre-production sample and list every known difference from planned production.
Product identity and version
- Product name, model and SKU
- Sample version number and approval date
- Related drawing, specification and bill-of-material version
- Supplier and production site
- Approved color, size and configuration
Materials and construction
Record material grade or composition, finish, thickness, weight, hardness or other relevant properties. For components, note manufacturer or approved equivalents when substitution could change function, appearance or compliance.
Dimensions and tolerances
List critical dimensions and their allowable tolerances. A physical sample alone cannot communicate which variation is acceptable. Identify the measurement method and checkpoints that production and inspection will use.
Function and performance
Define the test, sample condition, duration and expected result. “Works well” is not measurable. Record operating steps, compatibility, load, temperature, cycle count or other product-specific criteria where appropriate.
Appearance and workmanship

- Surface finish, gloss, texture and print quality
- Seams, joints, gaps, alignment and assembly
- Product-specific critical, major and minor defect examples
Branding, labels and artwork
Confirm logo method, size, position and color; product labels; warnings; instructions; barcodes; country-of-origin marking; and approved artwork files. Record the file version rather than relying on a screenshot in chat.
Packaging and shipping protection
Approve retail packaging structure, inserts, accessories, sealing, barcode position, quantity per carton, carton material and markings. Confirm whether the sample packaging has completed the required protection or transport evaluation.

Keep matched references
When practical, the buyer and supplier should retain matched approved samples, with the inspection team receiving the same specification and clear reference photos. Prevent the approved sample from being used, damaged or mixed with an unapproved version.
