Product Sample Development in China: From Brief to Approved Sample

Sample development converts a product idea into a reference that suppliers can manufacture and inspectors can evaluate. A sample is most useful when it answers defined questions about materials, dimensions, construction, performance, branding and packaging.
Begin with a production-oriented brief
Include drawings or reference photos, dimensions, materials, colors, target quantity, destination market, performance expectations and packaging needs. Mark which requirements are mandatory and which can be adjusted to improve cost or feasibility.
For private-label projects, separate existing-product customization from structural product development. Logo placement may be straightforward, while new tooling, electronics or materials can require multiple prototype stages.
Understand the type of sample
- Reference sample: an existing item used to discuss quality or function.
- Appearance sample: checks size, color and visual direction but may not use final production methods.
- Functional prototype: tests operation or construction.
- Pre-production sample: uses intended materials, components and processes as closely as practical.
- Packaging sample: checks artwork, dimensions, protection and labeling.
Control revisions systematically
Number each version and maintain one consolidated change list. Photos and chat messages are not enough for technical details; update drawings, specifications and artwork files whenever a decision changes.
Ask the supplier to confirm which materials and processes differ from planned bulk production. A beautiful handmade sample can create false confidence if bulk tooling or production conditions are different.
Approve measurable criteria
Record dimensions and tolerances, material references, colors, construction, function, logo position, labels, accessories and packaging. Keep an approved physical sample when practical and provide the same reference to the supplier and inspection team.
Plan cost and timing
Sample charges can include design work, setup, tooling, material minimums and courier delivery. Confirm what is refundable, what belongs to the buyer and whether tooling can be transferred. Do not set a bulk production date until the sample and critical requirements are approved.
